I highly recommend it to people who don’t have an HR department. Someone with almost zero HR experience will be able to work as a competent administrator at Gusto.

Everyone we spoke to said the implementation was quick and painless. In terms of IT infrastructure all you need is an internet connection.

The platform is constantly improving and adding new features, but it’s incredibly easy to use across the company. It might be a little thin for the needs of large organizations, but it’s more than enough for a startup or small business.

It’s all managed through the Gusto platform — you don’t need to integrate tools or sign in to multiple accounts to track time, manage PTO, or change someone’s address. In fact, most managers are only approving changes that employees make themselves.

People are not afraid of flattery. Customers we spoke with said their employees were able to do virtually everything themselves.

“I didn’t really have any complaints about it,” said the founder of the nine-person marketing agency. He received many complaints about their previous system, calling it “not as easy to use” and “a bit too confusing”.

Enthusiastically, he said, “As far as the [employee portal] goes it’s been better than expected.”

The flattery is welcoming to the point of being almost condescending. There’s a dancing piggy bank and plenty of digital high-fives for things like completing your annual enrollment. But these tasks are incredibly important (ask any employee who’s missed an open enrollment window) and the tangible benefits of having an HR platform can’t be overstated as much as Gusto.

As one restaurateur told us, the platform’s simple design allows its employees to answer their own questions.

“You can get all the answers without sending the flag to China,” he said. “This will save a lot of unnecessary time that managers usually have to deal with week after week.”

And it’s more than just finding utility. The restaurateur has seen a decrease in turnover, crediting Gusto for higher employee retention.

“They like the fact that if there’s a discrepancy, it’s quickly resolved and acted upon,” he said. And mistakes are few and far between. “It just creates a very constant, stable environment, even in the current social environment.”

The rear end is just as good as the front end. You don’t need any formal HR experience to start your own company. Gusto walks you through the nuts and bolts, even sending the occasional timely reminder.

Potential pitfalls of running HR with Zenefits

As much as I think anyone can start managing HR with enthusiasm, Zenefits works best in the hands of an HR professional.

“It’s really good for people who know what they’re doing,” said one HR manager who has used Zenefits for more than seven years. It took her a while to find her way, and even now, “I’m still learning a lot.”

Because you can do more, it will take more time to learn. This won’t necessarily be a drawback for those who have experienced HR people on staff, but for new managers, I’d think a lot about whether the added control is worth the potential hindrances. What they will experience.

No one was enthusiastic about the time it took to implement Zenefits.

“It’s like when you remodel your kitchen,” one customer said of her experience, “you double down on whatever the contractor tells you.”

This same user really loved the platform, but the implementation and integration “were not as smooth as recommended.”

“It’s so easy once it’s all integrated, but you have to put in some time,” said another user.

That’s true of any software, but with options like Gusto and BambooHR, where easy deployment really lives up to the hype, you have to make sure you’re willing to go the extra mile.

Investing in Zenefits is worthwhile for companies that need detailed reporting and performance management. But if that’s not a big deal, other options can be just as good with a lot less stress.

What compounds these issues is that Zenefits customer support isn’t a highlight for most users we’ve spoken to. One experienced no real problems, but others reported extremely slow response times. Two to three weeks was typical for standard issues, but urgent issues could take 24-48 hours.

An HR manager told us that they were charging late fees based on Zenefits’ error and lack of timely assistance. In this case, Zenefits “ate the latte fee for us” because it was their fault. “So I think that’s representative of good customer service,” he said, “It’s just the turnaround time that’s slow.”

Another customer really wanted some help with the pandemic tax credit, and she couldn’t contact Zenefits until she wrote a dismal review online. It shouldn’t take to get an answer.

For companies that don’t have a lot of in-house HR experience, Zenefits lacks support that you should consider. There are ways to plan ahead and work around this, but if you want to keep things simple, or if you need a deeper feature set, you might be better off with BambooHR.

It offers more range than Gusto, which I think works better for a startup business. Management teams that have done recruiting or performance reviews can manage everything from BambooHR, while happy users will have to rely on integrations if available.

  • What we discovered in our research was that some tools aren’t as feature-rich as people would like, but it handles the basics very well.

We spoke to an HR manager at a church with 70 employees. As a nonprofit, they have some unusual tax and salary conditions. She was concerned about the implementation and what issues there would be, but said the transition to BambooHR “has been a great experience.”

So far, she said she saves about 15 to 20 hours a week with the system she was using before.

Syncing payroll with onboarding, for example, allows their system to recognize different staffing classifications.

“If someone is in fifth grade, they need that [special] benefit packet,” he said. “Or, class three and four clocks come along, so then we’re able to combine the different timekeeping steps as well.”

BambooHR’s built-in application tracking system (ATS) holds its own with standalone products like Freshteam. Anytime you have a team versus a single HR person, there are more cracks that candidates can fall through.

Bamboo HR takes all the guesswork out of recruiting properly. You can bring anyone in and control their permissions, as well as get feedback from other stakeholders without accidentally deleting a record.

There are integrations with major job boards and major social media platforms. All that information is tracked in a single pipeline. Although users noted limited reporting with performance management in BambooHR, they did not have the same concerns with ATS.

Where it really pulled away from the competition was the phone service with the BambooHR Advantage plans.

“I always talk to a human being,” explained one HR manager. At most, she waited two or three minutes, “but they’re usually fine. [It’s a] very knowledgeable and friendly staff.”

This type of service is incredibly valuable, especially for small teams that are facing new challenges as their company grows.

It can be really difficult to hire employees or increase their benefits packages in new states. Avoiding mistakes in these areas—which can only be revealed in an audit months later—is incredibly valuable with a simple phone call.

Employees seem to really like the platform as well. One HR manager told us that 90 percent of what his employees need to do can be done with the app. She said the app has come a long way in the four years she’s been using the product.

The more employees can take care of themselves, the less they need to call their HR manager. No one will ever have to step away from screening candidates to answer a basic W2 question again.

Potential pitfalls of running HR with BambooHR

Bamboo does the basics well. But while it offers a lot of range, it doesn’t have the same depth as other options, e.g.

You may not be able to fully implement all of your existing processes because some aspects of BambooHR are heavily developed.

Now, this can lead to your system being better than before or it can be frustrating. One HR manager we spoke to who considered BambooHR, but went with Namely, cited the limited number of questions you can ask on a performance review.

Another BambooHR user told us she was tempted to switch due to limited reporting. One example he recalled was not being able to get his finance team a report with the breakdowns they needed.

In the end, she stuck with BambooHR. The alternative system they piloted was a bit more reporting-heavy, but its employees hated the interface and wanted nothing to do with it.

If you have an ambitious performance review process or need to dive deep into analytics, you can push boundaries with BambooHR. Tradeoff is a simple system that unifies all HR for a typical small business.

One area where we saw a lot of complaints in public reviews was pay. From our interviews, we discovered how this problem was solved, though among them.

How We Chose Which HR Software to Review

You don’t need to be an HR pro to make good decisions about the software your company needs. It probably helps, but these reviews should serve as a good roadmap for someone looking for HR software for the first time.

How We Evaluated Each HR Software

Over the course of three weeks, the Quick Sprout team identified active users of HR software across industries and company sizes. After contacting and confirming that the person was an active customer at a real company, we arranged a short interview to talk about their experience.
